The Challenge

Westomatic was using several different solutions to manage different departments within the organisation. But this caused a lack of visibility for key personnel in the business. Data duplication was also an issue with different systems having inaccurate levels of stock.Senior and line managers were also frustrated at the level of reporting supplied by the various systems in place. Generating reports was often a drawn out process with information being pulled from various programs and spreadsheets and then entered manually.
When choosing the SAP Business One solution, Westomatic worked closely with Milner Browne. They helped create a tailored solution which was developed and included add-ons from the B1 Apps range. These add-ons for production, configure to order, trial kitting and email provided Westomatic with additional functionality to the tools already within SAP Business One.

Back in May 2014, Milner Browne travelled to Newton Abbot to visit Westomatic. The vending machine manufacturer was using several different solutions to manage different parts of its business. But it was clear the company needed a solution with advanced tools to manage everyday operations. There was also a requirement to have the ability to integrate data into a centralised solution and to improve existing supply chain and stock management processes.

Milner Browne developed a SAP Business One solution for manufacturing. As well as having mobile accessibility for service engineers, Milner Browne was able to create a tailored ERP solution using the innovative B1 Apps range. Add-ons included in the solution included B1 Email, B1 CTO, B1 Production and B1 Trial Kitting.

The solution instantly allowed staff at Westomatic to enter, share and manage data centrally. For the first time different departments were able to get instant visibility into real-time data to boost levels of productivity. Staff could also access the company's inventory to make smarter business decisions when taking orders and replenishing stock. Finally, senior management at the company could extract accurate and automated production reports to check the progress of performance and activity.

The Newton Abbot-based company has a wide range of products including, single fresh brew, double fresh brew and bean to cup coffee machines and water dispensers. The company also supplied solutions for snacks, food and chilled drinks.The company supplies its vending machines through a number of regional operators and these are used in offices, showrooms, schools, hospitals, airports and factories across the UK. The Results

A SAP Business One manufacturing solution allows organisations to cut costs, increase the scale of operations and optimise inventories with smarter resource planning. At Westomatic, having the ability to access real-time visibility into stock levels lets the business make smarter decisions when deciding what needs to be orders and what projects can be committed to.

By storing data centrally in SAP Business One, staff are also able to analyse demand patterns of customers and successfully forecast to ensure future orders can be fulfilled without having a detrimental impact on current operations.

Key production processes are now automated with staff able to easily manage process controls. MRP tools in SAP Business One have also provided to be invaluable. The automation in the MPR wizard of processes such as analysing stock levels and purchase orders has been a massive improvement for Westomatic. Whereas the company once ordered items in bulk for a six month period, it is now able to act leaner with items ordered for orders coming through from the sales team.
